Meetings let you schedule calls with the people on your deals through Calendly, without leaving LetterScript. Booked meetings land on your calendars and can auto-email reminders before they start. Everything lives under Automations → Meetings, and on each deal's People tab.
Connect Calendly
Open Automations → Meetings and click Connect Calendly (you can also connect from a deal's People tab, or under Settings → Integrations). You'll authorize your own Calendly account once.
Once connected, the card shows whether bookings flow in real-time (a Calendly webhook) or by a 15-minute check (the polling backstop, used when your plan or setup has no webhook), your account, your meeting-type count, and a Sync now button.
Schedule a meeting
Click Schedule a meeting (on Automations → Meetings, or on a deal's People tab):
- Meeting type — one of your Calendly event types.
- Who's it with? — on a deal, pick a person from the roster to prefill their name and email, or choose Someone else… to enter an invitee directly.
- Invitee name / email — prefilled from the person, editable.
LetterScript mints a single-use Calendly scheduling link and opens it so you can pick a time, or copy it to send to the invitee. When they book, the meeting is recorded automatically.
A meeting scheduled from a deal's People tab is attached to that deal; one scheduled from Automations → Meetings without a deal is a standalone workspace meeting.
Where meetings show up
Once booked, a meeting appears:
- on Automations → Meetings, grouped into Upcoming, Awaiting booking (links not yet booked), and Past;
- on the workspace Schedule calendar;
- on the deal's own calendar (the Workflow tab) and on each person's row on the People tab.
Each meeting row gives you Join (the video link), Reschedule, Open link / copy (for an unbooked link), and Remove. Removing clears it from LetterScript — to cancel a booked meeting with the invitee, use Calendly's own cancel link; the next sync reflects it here.
Meeting reminders
On Automations → Meetings, the Meeting reminders card sets the auto-emails that go out before every booked meeting — workspace-wide, across all deals and standalone meetings.
- Add a lead time (15 minutes, 30 minutes, 1 hour, 2 hours, 1 day, or 2 days before).
- For each, choose who's reminded: the Invitee, Me (you, the organizer), or both.
- Toggle each one on. Reminders are off until you turn one on.
- Use Test to email yourself a sample.
A reminder is sent once per meeting per lead time; if a meeting is rescheduled, a fresh reminder is queued for the new time. These are separate from milestone reminders, which fire on deal deadlines rather than meetings.
