LetterScript can write the emails you send on every transaction, filled in from the transaction record — key dates, the contact sheet, escrow and title details, deposit amounts, outstanding checklist items, and a countdown to the next deadline.
These written-for-you templates live on the Automations page, on the same timeline as the milestone reminders (see Automations: reminder and email moments). Each template is set to Off or Draft first, and every one starts Off — a new workspace writes nothing until you turn a template on. Switch one to Draft first and each email lands in the transaction's Email tab under Drafts ready for review, where you edit it, adjust recipients, send it, or discard it — nothing sends until you do. Auto-send for these templates is coming soon, together with automated emails to transaction parties; for now every template email goes through your review.
The templates
| Template | When it fires |
|---|---|
| Deal kickoff intro | When the transaction enters your contract stage (default: Pending) — introduces everyone with the key dates and contact sheet |
| Wire-fraud warning | A few days before the deposit (default: 3), while there's still time to phone-verify wire instructions |
| Closing-week summary | As close of escrow approaches (default: 5 days before) |
| Congratulations — closed | When the transaction enters your closed stage (default: Closed) |
Reminders for the earnest money deposit and the contingency removals aren't separate templates — they're the matching milestone moments on the same timeline, which you can also set to Draft first. One difference worth knowing: a template draft is addressed to the party roles you pick, while a reminder draft is addressed to you.
Who receives each email
The roles you pick for a template (matched against the transaction's Parties, set on the Overview tab — a party needs an email address to be included) prefill the draft's To line; since every template email is a draft you review, you always have the final say over who actually receives it. Your client is not copied on everything: pick exactly the roles each template should address in its details on the Automations page. Timing (days before, send time) and the trigger stage are configurable in the same place; changes save as you make them.
Reviewing a draft
Open the transaction's Email tab. Drafts appear in a highlighted strip above the conversations:
- Click a draft to open it.
- Adjust recipients, subject, or body as needed.
- Send — it goes out like any transaction email, with replies filing back into the same mailbox. Or Discard — a dismissed draft stays dismissed; it won't be re-created.
A draft you're not ready for can sit as long as you like (Save for later); the transaction's row on the Inbox page shows a drafts badge so it isn't forgotten.
Watching what went out
The Activity button on the Automations toolbar — and the Automations for this transaction panel on each transaction's Workflow tab — lists every draft and send with the recipients' addresses, the time, and the reason anything was skipped. To pause everything for a single transaction (drafts and auto-sends alike), use Mute automations for this transaction on that panel.
